Verikon is a multi-tenant identity verification platform built to support enterprise operations at scale. The Super Admin Console brings tenant management, user administration, license governance, and platform monitoring into one centralized experience, helping administrators manage complex workflows, maintain operational visibility, and make informed decisions with greater control.

why this PROBLEM matters

Cognitive Overload at Scale

As Verikon scales across multiple tenants, managing licenses, users, and system health becomes more complex. Administrators need to connect information across modules and make changes that can affect multiple organisations, increasing cognitive load. Without clear visibility and safeguards, routine tasks can lead to operational risks and slower decisions.

The goal was to reduce cognitive load, simplify complex identity verification operations, and make them safer to manage at scale.

The solution

One Control Platform. Complete Operational Visibility.

I brought tenant management, user management, license governance, and platform health monitoring into one structured experience. By organising related tasks, improving information hierarchy, and adding safeguards to critical actions, I reduced cognitive load and helped Super Admins understand the bigger picture, make informed decisions, and manage complex operations with greater clarity and control.

Defining the Problem

Understanding the Super Admin

The Super Admin oversees identity verification across multiple tenants. They need to manage users, licenses, system settings, and integrations while ensuring operations run smoothly. They need a clear view of what is happening, what requires attention, and how each change could affect other organisations. Understanding these needs was my first step towards reducing complexity and helping them make safer decisions.

design challenge

Constraints, Stakes & How Might We

The Constraints

The interface needed to present technical details, such as storage usage and API limits, through clear data visualisation without overwhelming administrators.

The Stakes

One wrong click while updating thousands of licenses could lock out users and trigger significant financial penalties.

How Might We

How might we reduce cognitive load and help Super Admins manage multiple tenants, make safer decisions, and monitor system health without losing control of critical operations?

research & insights

Research & Strategic Insights

I explored how Super Admins, Operations, and Engineering teams manage tenants, licenses, permissions, and platform health. Our conversations focused on daily tasks, operational bottlenecks, risky actions, and the information teams need to make decisions.

I conducted a competitive UX review of enterprise admin consoles, examining information architecture, permissions, bulk operations, alerts, and audit logs. This UX research helped identify design patterns that could inform a consistent control platform.

Key insight

1. Systems thinking: A change to one tenant, user, or license can affect connected workflows across the platform.

2. Multi-Tenant UX: Admins need clear context about who is affected, what caused an issue, and where action is required.

3. Risk-based control: High-impact changes need clear scope, proactive visibility, and safeguards against unintended consequences.

workflow strategy

Task prioritization and User Flow

Research revealed that Verikon’s administrative tasks are interconnected, and one change can affect multiple workflows. I prioritised tenant management, license governance, user administration, and platform health, then mapped user flows to identify dependencies, reduce steps, and add safeguards. This guided the design towards reducing cognitive load, improving visibility, and enabling safer decisions.

design exploration

Mid-Fidelity Wireframes

I translated the prioritised workflows into mid-fidelity wireframes to explore layouts, information hierarchy, and key interactions. I reviewed them with engineers to evaluate feasibility, workflow clarity, and potential usability issues before moving to detailed UI design.

design system

Establishing the Design System

Verikon’s Super Admin Console manages complex workflows across multiple modules. I built a reusable design system to maintain consistency, reduce design work, and make interactions predictable. Shared design tokens, typography, tables, form controls, and status indicators helped organise dense information, reduce cognitive load, and create a consistent experience across the platform.

design decisions

Key Decisions & Trade-off

I focused on simplifying repetitive tasks, clarifying tenant and permission assignments, and highlighting critical events. Guided by clarity and control, I balanced speed, visibility, screen space, and error prevention to make complex tasks easier and safer.

  1. Tenant Visibility & Control

The Decision

Tenant information, license usage, user metrics, and status into a structured table with a side panel for detailed views.

Why it Worked

Admins can compare tenants at a glance and inspect individual details without leaving the table, keeping context during navigation.

The Trade-off

Showing more information improves visibility but increases table density, requiring clear hierarchy and prioritisation.

  1. Bulk Operations via Contextual Panel

The Decision

Introduced multi-select checkboxes and a floating contextual action panel for bulk tenant management.

Why it Worked

Admins can select multiple tenants and access relevant actions without leaving the table, keeping the workflow connected

The Trade-off

The floating panel saves navigation but uses some screen space and requires careful positioning around dense table content.

3. Assign Multi-Tenant - User Management

The Decision

Introduced a structured user creation form with role-based permissions and a dedicated tenant-selection flow.

Why it Worked

Admins can assign module-level access and select specific tenants, making permission scope clearer before creating a user.

The Trade-off

The detailed form takes longer to complete, but gives admins greater control over tenant assignments and permissions.

final experience

One Platform, Multiple Tenants, Clearer Control

The final solution brings dashboard, tenant management, user administration, licensing, and platform health into one structured workspace. Clear information hierarchy and consistent interactions help Super Admins reduce cognitive load, identify issues, and manage critical tasks with confidence. The result is a centralised control platform that makes complex identity verification operations easier to manage, safer to control, and ready to scale.

The result

The redesigned console brings tenant management, user administration, license governance, and platform monitoring into one structured experience. Clear information hierarchy, consistent workflows, and safeguards help Super Admins reduce cognitive load, understand the impact of changes, and manage critical tasks with greater clarity and control. The solution creates a scalable foundation for complex identity verification operations.

What i learned

This project taught me that enterprise UX is about more than simplifying screens. It requires understanding how decisions affect the wider system. I learned to balance cognitive load, operational efficiency, and error prevention by making information clearer, action scope visible, and critical workflows safer.
